How to Add Page Numbers or a Watermark to a PDF

Number, label and protect a document before it leaves your desk — without paying for desktop software.

A PDF without page numbers is a document that will be discussed as “somewhere near the middle”. Anyone who has tried to reference a 40-page contract over the phone knows the pain. Numbering takes seconds and makes a file look finished.

Page numbers done properly

  1. Choose the format — “1”, “Page 1”, or “Page 1 of 12”. The last is best for anything printed or read on paper, because the reader always knows how much is left.
  2. Pick a position Bottom-centre reads as a formal report; bottom-right is standard for business documents.
  3. Decide the start If the first page is a cover, start numbering at the second page (some tools let you skip the first page).
  4. Add and download Use Add Page Numbers to PDF — the file is stamped in your browser.

One detail worth knowing: the numbers are drawn onto the page as real content. That means they survive printing, photocopying and re-export, unlike numbers typed into a footer that some editors drop.

Watermarks that protect and inform

Two very different jobs share the word “watermark”:

  • Status watermarks — DRAFT, CONFIDENTIAL, SAMPLE, DO NOT COPY. Light grey at a slight angle, low opacity: they inform without hiding the text. This is the most useful kind for day-to-day work.
  • Attribution watermarks — a company name, a client name, or a URL. These discourage casual reuse of proposals, mock-ups and photo proofs.

Rules of thumb from print practice: keep opacity around 10–20% for status marks, use 30–45° rotation so the word crosses the text rather than sitting behind one line, and never rely on a watermark as security — it is deterrence, not encryption. Use Watermark PDF to layer text on every page.

The professional combination

For anything leaving the building, the order that produces the tidiest result is:

  1. Organise first — remove blank pages and fix the order with Organize PDF Pages.
  2. Rotate any sideways scans with Rotate PDF.
  3. Watermark status words such as DRAFT.
  4. Number the pages last, so the “of N” total matches the final page count.

Do the numbering last. It is the step people get wrong by numbering a draft, deleting a page, and shipping a document whose last page claims to be “Page 11 of 12”.

And keep a clean master copy of every document: watermarked and numbered versions are output, never the source.

Frequently asked questions

Can I add page numbers to only some pages?
Yes — most tools let you choose a start page and format, and you can split out the section you want with the Split PDF tool if the numbering should apply to a subset.
Does watermarking a PDF secure it?
No. A watermark discourages casual copying but does not restrict access. For real protection use document permissions and encryption in your PDF editor.
Will page numbers survive printing?
Yes. They are drawn onto the page content, so they print and photocopy exactly as shown.
